Use Case
AI Property Manager
Property management is mostly the same forty questions asked at inconvenient hours. An AI persona built as a property manager answers them all day, records maintenance requests properly the first time, and knows precisely which situations belong to a human.

The Scenario
A management company looks after a few hundred units across a handful of buildings. The persona sits on the tenant portal and on each building's page, and the same link goes out in welcome packs and renewal notices.
A tenant opens it at eleven at night because a radiator is leaking. The persona asks the right questions, decides whether this is an emergency or a next-morning job, files the request with the unit number and photographs, and tells the tenant exactly what happens next.
How the Persona Is Set Up
Essentials
The role is a property manager for one portfolio: calm, precise, and careful never to give legal advice. The system prompt makes three rules non-negotiable — never interpret the lease beyond what is written, never promise a repair time the contractor has not confirmed, and always escalate anything involving safety, water, gas, or electricity.
Knowledge
- Standard lease terms, house rules, and the pet, parking, and guest policies
- Rent due dates, accepted payment methods, and late-fee rules exactly as written
- Maintenance categories with what counts as an emergency and what does not
- Building specifics: laundry, bins, keys, fobs, elevators, and quiet hours
- Move-in and move-out checklists, notice periods, and deposit handling
- Vacancy list with rents, availability dates, and viewing arrangements
Written as clean question-and-answer entries per building, the persona quotes the policy rather than paraphrasing it. See how knowledge and Skills work.
Guided Sessions
A "Report a maintenance issue" session enforces the sequence: unit, category, description, photos, access permission, contact number, urgency check, confirmation. A "Rent and lease question" session answers from policy only. A "Viewing enquiry" session collects the prospect's details and offers available times.
Skills
- Work-order creation in the property management system
- Tenant and unit lookup so the request is filed against the right lease
- Contractor dispatch for approved emergency categories
- Rent balance lookup where the company has enabled it
- Viewing bookings written to the leasing calendar
- Escalation to the on-call manager with the full intake attached
The Emergency Test
The behaviour that earns its keep is triage. Before anything else, the persona checks the request against a written emergency list — active flooding, no heat in winter, gas smell, electrical hazard, no power, lockout, security failure — and routes those straight to the on-call number while staying on the line with the tenant.
Everything else is logged as a normal work order with an honest expectation of when someone will call back. It never invents a timeframe.
Handling the Awkward Moments
- A tenant asks whether they can withhold rent — it declines to advise and routes to a manager
- A dispute between neighbours — it records the complaint and hands it to a person
- An eviction, notice, or legal question — it never answers, it escalates
- A repair is already overdue — it acknowledges plainly and flags the work order
- A request outside the lease — it says what the policy allows and offers the manager
What the Company Gets
- Maintenance requests that arrive complete, with unit, category, and photos
- After-hours coverage without an after-hours phone rota
- Consistent policy answers instead of whichever staff member picked up
- Fewer emergency call-outs for things that were never emergencies
- A record of what tenants actually ask, which quietly informs the next lease revision
The persona can be embedded on the portal or shared as a link — see share, embed, meetings, and earnings.
